CASE STUDY
Linking Workforce and Occupancy Planning for Confident Growth
HEALTH & SOCIAL CARE | SPECIALIST CARE SERVICES | PLANFUL
Background
Active Care Group is one of the UK’s largest specialist health and social care providers, supporting more than 2,000 people across 60+ locations. Formed through the merger of approximately 40 care providers, continued growth increased planning complexity and created the need for a more scalable, consistent approach to budgeting, forecasting, and workforce planning.
“ Instead of managing dozens of spreadsheets, we have one place to plan, forecast, and understand where our numbers come from. ”
- Laura Buck
Active Care Group
Challenge & Approach
Planning relied on numerous Excel workbooks, creating challenges with consolidation, version control, collaboration, and scenario planning. Workforce planning was especially complex because staffing requirements change with residential occupancy. After selecting Planful, ACG partnered with CFO Solutions to build a centralized planning environment, including a residential model that links occupancy directly to workforce requirements. CFO Solutions also standardized planning and reporting while helping the finance team develop the skills to maintain and extend the platform independently.
Value Delivered
ACG now works from a centralized planning environment with greater consistency, visibility, and confidence. Finance and business partners use common models and assumptions, while staffing requirements automatically adjust as occupancy changes. Business partners can update information for their areas while finance maintains governance over the planning process. The team can manage more of the platform independently and spend less time reconciling spreadsheets, freeing more capacity for forecasting, analysis, and strategic decision-making.
